Audio Visual Guide - large lecture theatres

Find out how to use AV equipment in large lecture theatres, such as University Hall or 3WN 2.1

These instructions provide a general overview of the AV equipment typically found in large lecture theatres (e.g. University Hall, 3WN 2.1). Equipment may vary slightly between rooms. The images on this page are from University Hall but other large rooms feature similar control panel options.

Facilities

The following equipment is available in large lecture theatres:

Projection facilities

  • A single large HD widescreen data projection screen, which may be lowered from the ceiling
  • Twin side-by-side widescreen HD data projection screens (each can be used independently in conjunction with whiteboards)
  • Some rooms have both single and side-by-side screens
  • Twin column-board whiteboards for use with dry-wipe marker pens

Lectern facilities

  • A presentation PC
  • A Touch screen panel enabling control of projectors, visualisers, HDMI inputs, Blu-ray, camera and room lighting
  • Twin document cameras mounted on a raiseable lectern with a writable surface suitable for OHP pens (not supplied)
  • Two lanyard\clip on radio microphone
  • A Blu-ray player
  • 2 x projection preview displays - the displays are laid out from the audience's perspective, i.e. the left preview is the left projector as seen by the audience
  • Connectivity including mains power, 2 x HDMI cables
  • Recording via the lecture capture platform - Re:View; of material which is being projected on the screen, audio and video of the presenter

Getting started

Follow these step-by-step instructions to get started with the facilities in a large lecture theatre.

  1. Log onto the lectern PC using your University username (e.g. abc123@bath.ac.uk) and password.
  2. On the lectern touchscreen panel, choose between 'Dual Display Mode' and 'Single Display Mode' according to your needs.
  3. Use the touchscreen panel to adjust the main theatre lighting, spotlighting and source volume, or to mute the audio.

If you only need to use the whiteboards, you do not need to select a projector. However, if you plan to use the whiteboards in conjunction with projection, select the 'Dual Display Mode' option.

Using a dual dispay: whiteboards and projection

  1. On the lectern touchscreen panel, select the 'Dual Display' option to use the whiteboards alongside projection. The dual projectors on the screen are arranged from the audience’s perspective.
  2. Choose the desired input for the projectors from the available options:
  • PC
  • HDMI 1/2
  • DocCam (Visualiser)
  • Blu-ray Player

Additional functions include:

  • 'Blank': Temporarily blanks either screen
  • 'Source Volume': Adjusts the volume level
  • 'Mute': Toggles audio on and off

If you wish to change to a single projection option touch the 'Room Mode' button in the bottom left-hand corner.

Using a single display

Choosing 'Single Display Mode' will lower the screen from the ceiling and automatically change to a single projector.

On the lectern touchscreen panel, choose the desired input for the projectors from the available options:

  • PC
  • HDMI 1/2
  • Document Camer (Visualiser)
  • Blu-ray Player

Adjust additional functions as needed:

  • 'Blank': temporarily blanks either screen
  • 'Source Volume': adjusts the volume level
  • 'Mute': toggles audio on and off
  • 'Lighting': adjusts room lighting settings
  • 'Camera': configures camera settings
  • 'Screen Controls': adjusts the screen's position (raise/lower)

To switch to a dual-screen projection option, select the 'Room Mode' button in the bottom left-hand corner.

There are various options for presentation settings, spotlight, and board lighting.

  1. On the lectern touchscreen panel, tap the 'Lighting Settings' button to adjust the room lighting.
  2. To return to the projector control screen, tap 'Close' in the top right corner.

Using the cameras

The camera features adjustable pan, tilt and zoom controls, as well as preset options. For example, University Hall includes the following presets:

  • Preset 1: Lectern
  • Preset 2: Right-hand board (from the audience’s perspective)
  • Preset 3: Center between the two boards

Camera tracking using floor pads

University Hall and 3 West North 2.1 have floor track pads on the floor in front of the whiteboards and at the lectern, marked by lighter-coloured carpet tiles. The camera is set to automatically track when someone stands on these pads. To disable auto tracking, tap the Auto Tracking button on the camera settings screen.

Document cameras

  1. On the source selection screen, tap 'Doc Cam'. In dual projection mode, you can select both left and right visualisers to display on the corresponding projection screens.
  2. To adjust the document camera, use the small wheel at the top of the unit to zoom in or out. Use the buttons below the wheel to turn the onboard 'light' on or off, 'focus' the image, or 'freeze' the frame.

Using the microphone

To capture audio effectively in larger theatres, you need to wear a microphone.

The microphone is located in a dock on the lectern, which holds two microphones (one of which is a spare). The microphone is designed to be worn around the neck.

It is necessary to wear them so that:

  • Students can hear you
  • Your voice can be recorded for lecture capture
  • Individuals with hearing aids can use the audio system effectively

To use the microphone:

  1. Remove the microphone from the charging dock. Check the light indicator: a solid green light means the microphone is fully charged. There may be a brief delay before it connects to the receiver and becomes active. The green light should remain solid when it is ready.
  2. Secure the microphone around your neck using the lanyard.
  3. When you have finished, return the microphone to its charging dock to ensure it recharges for the next user.

Note: while the microphone is away from the dock, it is always 'live'. To mute it, return it to the dock.

Connecting your device

The lectern features a cable connection panel on the top, near the computer monitor. It includes a network cable, mains power, and two HDMI ports. Use HDMI 2 for Apple devices.

  1. To connect your device, pull out the required cable(s) from the recessed panel.
  2. When you have finished using a cable, press the button next to each cable to retract it back into the panel.

To adjust the height of the central part of the lectern, use the push-button controls located on the left side of the lectern’s seating area.

Finishing your session

At the end of your presentation or lecture remember to:

  • Place the radio microphone(s) back into the docking unit
  • Power down the system by selecting the 'Power' button in the bottom right-hand corner of the main projector control screen. This will reset the equipment for the next user
  • Remove any USB devices from the PC
  • Remove discs from the Blu-ray player
  • Logout from the PC
